Exec Admin Assistant
Exec Admin Assistant with strong office skills who will manage the administrative functions of the Accounting Client’s Executive Staff consisting of 4 partners.
Job Description: (including but not limited to the following)
- Responsible for maintaining the department calendar and schedules related appointments; coordinates activities of numerous departments ensuring functions that are scheduled do not conflict with existed or planned events.
- Work independently and within a team on special and nonrecurring and ongoing projects.
- Possibly act as a project manager for special projects, which may include: planning and coordinating multiple presentations, disseminating information, and organizing companywide events.
- Experience with clerical functions and actions including phones, filing, general word processing, tracking of information, maintaining logs/spreadsheets, and other administrative support
- Will be required to process mail, bank deposits, take dictation or fast notes, etc.
- Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
- Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Skills and Requirements:
- Position requires strong skills in clerical and general office practices and procedures
- Setting up office systems including file management, correspondence or project deadlines, and project management of own work.
- Strong typing skills (minimum 60 wpm) and ability to take fast notes or dictation
- Knowledge of correct English usage, spelling, grammar, and punctuation
- Experience in accounts payable (matching purchase orders with invoices) or performing bank reconciliations
- Requires high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
- Able to interact and communicate with individuals at all levels of the organization and deal with strong personalities
- Must have strong knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, PowerPoint and Outlook)
- High school diploma or equivalent; with 4+ years of experience and experience.
This temp to hire position is located in the San Fernando Valley area. The required hours are 9 to 5:30 with a half hour lunch. The pay rate is $34 To $38 hourly. Free parking and upon conversion there are good employee benefits.
