Senior Academic Administrative Assistant

The Senior Academic Administrative Assistant will provide clerical and administrative support to the office staff, management and faculty in a private educational environment and ensure efficient operation of the front office.  This role is responsible for confidential and time sensitive material.

Job Description (including but not limited to the following):

  • Operationalize core concepts, practices and procedures.
  • May direct and lead the work of others. Exercise judgment and creativity in planning and accomplishment of goals.
  • Welcome and greet families and school guests
  • Answer and direct calls to appropriate persons, take detailed messages
  • Organize and schedule appointments
  • Write and distribute email, correspondence memos, letters, and forms
  • Maintain attendance records
  • Assist with finding teacher substitution coverage
  • Maintain CUM files and fulfill transcript requests
  • Maintain and inventory emergency backpacks
  • Oversee book ordering through MBS
  • Liaise with event planner and office manager in planning projects
  • Attend event planning meetings and take detailed notes
  • Reserve rooms and events through our web portal
  • Interact effectively with students, parents and visitors
  • Provide administrative support to faculty and leadership team
  • Assist in the preparation of regularly scheduled student trips and events
  • Liaise with office manager to handle requests from leadership team
  • Maintain office supplies, request restocking when necessary
  • Submit announcements and events to weekly bulletins
  • Ensure office is kept clean and organized at all times
  • Receive, sort and distribute incoming mail
  • Work additional hours as needed for special events
  • Other related duties as assigned

Skills and Requirements:

  • 4 years of experience as an administrative assistant in a school setting or equivalent
  • Working knowledge of standard office equipment
  • Proficiency with Mac, Google Suite and Microsoft Office, strong Excel and Word
  • Experience working independently and as a team player
  • Operating with and ability to maintain confidentiality
  • Planning, prioritizing and leveraging strong organizational skills
  • Excellent verbal and written communication skills
  • Strong attention to detail
  • Must be able to interact effectively with a wide variety of people/roles
  • Ability to work in an office environment with frequent interruptions

This is a temp to hire position located in the West Los Angeles area.  The salary range is $25 to $29 hourly.  This position has great benefits.  Please call for additional details.
